Instructions on Online Application Process


What should I do before applying?

Before you start your application, it is important to read the Vacancy Notice and the relevant SOR published by USJ. They outline the expected qualifications and salary structure for the advertised positions. It will assist in deciding if your skills and abilities match the requirements of the vacancy.

Applying Online

Applicants should apply for vacancies using the online application process only.

You should have a valid email account to start the application process. All future announcements will be notified via your email only.

How to Apply

There are two options in the online application portal as follows.

  • Apply Now - To view available vacancies and start the application process.
  • Edit & Submit - To amend/complete the saved draft and submit the application.

When you press “Apply Now”, the list of vacancies will appear. You can filter the vacancies by Faculty and Department. After selecting a vacancy that you wish to apply for, click the relevant “Apply Now” button to proceed with the application process.

A screen will prompt you to enter NIC, Mobile Number and Email. After clicking the “Send OTP to Email” button, an OTP will send to email to verify. The application form will appear after entering the OTP.

You must upload a Photograph and other Certificates according to the specifications and formats mentioned below. Therefore, keep them ready before starting the application process.

A facility is given to “Save as Draft” the application during the application process. You can access and edit the application by selecting the “Edit & Submit” option after saving it until you “Submit” it. You must enter your NIC and Email to receive an OTP.

You must “Submit” the application after furnishing all the data. You will not be able to edit the application after submitting it.

Structure of the application

You will be guided through each part of the online Application Form, which will ask you for the following information:

  • Personal Details
  • Higher Educational Qualifications
  • Certificate/Diploma Courses
  • Details of Research & Publications
  • Special Achievements
  • Memberships/Fellowships
  • Professional Qualifications
  • Employment Records
  • Particulars of Bond Obligations
  • Non-related Referee Details
  • Head of the Institution’s Consent to Release (for Public Sector Candidates)

Most questions can be answered with a drop-down response or a brief text answer.  Mandatory questions are marked with an asterisk ‘*’.

What are the documents I should upload?

  1. A Passport size photograph as specified below.
    • Size should be 45mm x 35mm (height x width) - Passport Size.
    • In JPEG or PNG format
    • Resolution (pixels): at least 600 dpi
    • Background: Plain white only
    • The photo must be in full color.
    • Head position: Straight, looking at the camera.
    • Recency: taken not more than 6 months ago
    • Smile: A neutral expression is preferred.
    • Eyes: must be clearly visible.
    • Blurred pictures will be rejected.
    • Glasses: acceptable if they do not obscure the eyes and there is no glare in the photo.
    • Headwear is not allowed. Exceptions are made for religious/cultural purposes.
    • Dress code: Clothes must contrast with the background so avoid white tops. Formal attire is preferred.
  2. Higher Educational Certificates.
    • Must be uploaded in PDF
  3. Certificate/Diploma Courses Certificates
    • Must be uploaded in PDF
  4. Employment Records
    • Must be uploaded in PDF
  5. Head of Institution’s Consent to Release Letter
    • Download the given format and upload it in PDF format with the Head’s signature.

Will I receive a response to my application?

Yes.  You will receive an email confirming your successful submission.

Can I apply for more than one post?

Yes.  You can apply for multiple vacancies. However, you will need to submit a separate application for each post.

Do I have to complete the application in one sitting?

If you wish to complete your application in stages, you can save the application with entered data by clicking on “Save as Draft”. You can then come back and complete and submit your application later.

Can I update my application after submitting it?

No. You will not be able to update the application after submitting it. 

Are my personal details safe?

The University of Sri Jayewardenepura treats personal information as confidential. Your personal information will not be disclosed unless the law permits it, or your permission is given.

Who sees my application?

The following people will be able to view your application:

  • Academic/Non-Academic Establishment Divisions (who manage and administer staff recruitment and data)
  • The Faculty/Department/Division representatives who evaluate your application.
  • The Selection Panel.
